We at Best Guest Finland are committed to ensuring and protecting our customers’ and website visitors’ privacy rights. For this purpose and for your better understanding of how we use your data, we created this privacy and cookies policy. The policy is compliant to the General Data Protection Regulation (GDPR) of the European Union. By using our website, we assume that you agree with our privacy policy. Why do we collect data?

As a tour operator, we collect some of our customers’ and website visitors’ data to provide our travel services and products, to improve these and to adapt them to demand as well as to ensure personal customer service at a high level. We also collect data to understand visitors’ interaction with our website in order to improve the site’s usability and attractiveness. Personal data may be collected from our website users only when we have a specific reason to do so.

How and what kind of information are collected?

Best Guest Finland collects two different types of data from our website’s visitors: Personally identifiable data, which you share with us explicitly, e.g. on entering these in forms on our website; and anonymous data, which your browser automatically transmits to our system when you visit our website. The latter type of data is collected by way of cookies (see section 2 “Cookies” below) and does not identify you as an individual person but is only collected for statistics and enhancing website usability.

1)     PERSONALLY IDENTIFIABLE DATA

We may collect and process your explicitly provided data in the following cases:

a) When you sign up for Best Guest Finland’s newsletter

Best Guest Finland provides a free newsletter subscription service to send you exclusive information about our company and offers. To receive our newsletter, we ask you to provide your e-mail address and your name in a form on our website. These personal data will only be used by us to send our newsletters to you. Your data is kept private and secure and can only be accessed by our management. To unsubscribe from our newsletter, you can send us an e-mail at any time to info@bestguestfinland.fi or simply reply to the newsletter and we will remove your details from our mailing list.

b) When you request information or make a booking request

Via our Contact Form

We use a contact form which allows our website visitors to ask for information on our company, our tour packages and other topics as well as to make a booking request. This contact form asks you to give your e-mail address and your name. These personal data will only be used by us to reply to your request and may be added to our customer register in case of a booking request. Our customer register is kept private and secure and can only be accessed by our management to handle your booking request and provide customer service. Your data will not be used to send you any personalized marketing materials or offers unrelated to your primary request, unless you have given explicit consent to this. We never pass on your transmitted personal data from the contact form to any third parties, like service providers, unless we have asked you before and have received your explicit consent.

Via e-mail to info@bestguestfinland.fi

When requesting information via e-mail, we may save and use your e-mail address and any personal data provided by you only for the purpose of answering your request. Your information is kept confidential and will never be passed on to anyone outside Best Guest Finland’s team unless we have asked you before and have received your explicit consent.

When you make a booking with Best Guest Finland, i.e. when you accept our holiday offer sent to you via e-mail, we will request personal information from you including your full name, address, nationality and date of birth (to check your age of legal authority). This information is necessary to handle your booking and to arrange all services included in the holiday package you ordered. We may pass on some of these information to our cooperating service providers whose services are, or might be, included in your holiday package. Your personal information will be used to prepare your holiday with Best Guest Finland and to provide personal customer service. We may add your customer data to our customer register in order to keep in touch with you before, during and after your holiday. With your prior consent we can also add your e-mail address to our mailing list if you wish to receive our newsletter.

Your personal information is only accessible by a limited number of persons (our management and customer service department) who have special access rights and are required to keep the information confidential.

What happens in case of a data breach?

We use several security measures to ensure the safe storage of your data. Nevertheless, no company or private person in the world can prevent data breaches to 100%. In case we will be noticed of a data breach despite our efforts to prevent these, we will inform all involved parties as soon as possible via e-mail.

How long does Best Guest keep my data?

We will delete your personal data when you ask us to do so and otherwise as soon as we do not need them for the aforementioned purposes any longer.

Use of third party services and plugins

In some special cases we also use cookies provided by trusted third parties. The following section details which third party cookies you might encounter through this site.

Third party analytics

Third party analytics are used to track and measure usage of this site so that we can continue to produce engaging content.

Google Analytics

This site uses Google Analytics, one of the most widespread and trusted solutions for webhosts to analyse their website’s traffic. Google Analytics is an online service provided by Google Inc (“Google”).

For analysing website usage with Google Analytics, cookies will be automatically sent to Google servers located in the United States of America, stored and processed there and sent back to our management as a documentation of aggregated data on website usage.

The cookies which are collected by Google Analytics may track data like how long you spend on the site and the pages that you visit. Google provides us these information in form of statistics and visual graphics, showing for example daily visitor numbers and the most frequently visited pages. These help us understand how visitors use our website and so we can improve your user experience and continue to produce interesting content.

Information collected through Google Analytics’ cookies also include the web browser you use, your language settings, your location (country and city), your IP address, the approximate time and duration of accessing the website, the type of device you use (mobile/desktop/tablet), the channel which lead you to our website (social media/direct/organic search/referral/other), the network service provider and operating system you use.

All this information cannot be traced back to an individual user but is only used to analyse general trends and patterns of website use, but no personal details, like names, are collected. Your IP address will never be linked to any other user data transmitted through your browser, so you stay anonymous.

For more information on Google Analytics cookies, please see the official Google Analytics website at https://www.google.com/analytics/.

To avoid processing your data by Google, you can opt out by clicking the following link to download and install the browser add-on provided by Google: https://tools.google.com/dlpage/gaoptout.

Google Maps

We use an embedded map provided by Google Inc which links to the service Google Maps when you click the respective link. Using this plugin may automatically transfer data such as your IP address to Google. Please view Google Maps’ own privacy and cookies policies (https://policies.google.com/privacy) and refer to these to learn how Google may use your personal data and cookies.

Social Media Plugins

We also use social media plugins on this site that allow you to connect with your social network in various ways. For these to work, the following social media providers will set cookies through our site: Facebook and Instagram. These cookies may be processed by the respective third parties according to their own privacy policies.

a) Facebook Feed Plugin

We embed a Facebook feed plugin to allow you to see social media content, information about, and to“like”, our Facebook page on our website. As a result, our site makes requests to Facebook’s servers in order to display images and videos. This widget may collect your IP address, your web browser User Agent, store and retrieve cookies on your browser, embed additional tracking, and monitor your interaction with the widget, including correlating your Facebook account with whatever action you take within the widget (such as “liking” our Facebook page), if you are logged in to Facebook. For more information about how this data may be used, please see Facebook’s data privacy policy: https://www.facebook.com/about/privacy/update.

b) Instagram Plugin

We use an Instagram Feed plugin to display social media content on our website. As a result, our website makes requests to Instagram’s servers in order to get the data to populate the feed(s) and to display images and videos. These requests make your IP address visible to Instagram, who may use it in accordance with their data privacy policy: https://help.instagram.com/519522125107875.

Links to other websites

Our website contains links to websites operated by other companies and organisations. These have their own privacy notices. Best Guest Finland is not responsible or liable for these websites, their use and storage of your personal data. Thus, before providing any personal information of yours to any of these websites, we advise you to carefully read their respective privacy policy and terms and conditions.

Updates to this privacy policy

We may update this privacy policy from time to time and will give notice to you on our title page, or via e-mail for newsletter subscribers, when this is the case.
